Requirements
- Must have a high school diploma, equivalent, or higher level of education
- Must have 2-3 years of customer service, reception, or business experience
- Previous phone experience and knowledge of basic office procedures/equipment and computer systems required
- Familiarity with medical terminology and prior health care experience desirable
- Previous cash handling experience is preferred
- Optical technician school training or equivalent preferred
- 3 years’ experience in the optical field preferred
- ABO certification preferred
Work Hours
1) We are seeking a full-time (36 hours/week) registration/optician to work days 7:30 am- 5:00pm at the Platteville Eye Clinic.
Job Summary
– The Registration/Scheduling Representative, under the supervision of the Clinical Manager, provides exceptional customer service by serving as the frontline ambassador of service between the patient and the Medical Center. The Registration/Scheduling Representative ensures a positive patient experience from the time a patient accesses the system.
– The Optician assists customers with frames and lens selection; takes optical measurements (facial, P.D., seg. ht.); evaluates patient for assistance in lens design; verifies order; quotes patient, properly fits spectacles for patient; and makes fitting adjustments after sale.
Essential Job Functions and Responsibilities

- Promotes the company in a courteous and professional manner at all times, and directs efforts to fulfill all patients’ optical needs, maximizing sales in the process.
- Orders, labels and ensures that all frames are adjusted, cleaned, and arranged by brand in display racks.
- Cleans, orders and prices all items (i.e. spec chains, magnifiers, half-eye readers, instant suns and lens cleaner kits).
- Maintains supply inventories (cases, frame parts, etc.)
- Files all delivered prescriptions neatly, in alphabetical order.
- Keeps shop, reception, and optical area neat and clean
- Rotates displays as needed
- Performs reception, patient financial services, and optical record duties as appropriate.
- Conducts patient history in manner and format required by optometrist or supervisor.
- Assesses and records visual acuity.
- Neutralizes and records spectacle prescription by the means of a lensometer, manual or automatic.
- Educates patients on important aspects of eye care by explaining the principles of basic eye care and testing procedures being performed
- Performs frame adjustments and repairs.
- Monitors service levels from current lens labs and reports any decrease in service to Clinical Manager
- Responsible for sending all weekly and monthly reports to the regional supervisor on a timely basis including invoice receiving report complete with all invoices, sent on a weekly basis, and daily transaction sheet, sent on a regular basis/
- Responsible for efficiently managing his/her on site inventory.
- Checks items in the optical area, including contacts, for expirations.
- Maintains equipment in a preventative maintenance program (i.e. proper handling, care, cleaning, changing bulbs, batteries, etc.).
- Manages patient complaints/problems.
- Ensures that all company policies and procedures are followed; reports any discrepancy or change in policy to the Clinic Manager.
- Adheres to Southwest Health’s value-based behavior standards.
- Understands and adheres to Southwest Health compliance and HIPAA standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
- Ensures that each patient is scheduled with the appropriate provider based on the reason for their visit.
- Registers new patients completely and accurately.
- Understands and follows the proper steps to search for a patient record and the set up of new accounts. Validates, verifies or adds insurance, including third party insurance.
- Performs cashiering functions including the collection of co-payments and self-pay balance payments as well as balancing the cash drawer daily, voiding payments as needed and researching issues prior to closing.
- Schedules appointments for patients by following individual provider protocols and workflows to ensure accuracy in scheduling.
- Strives to understand and meet the needs of the patient when multi-tasking, switches gears quickly when checking in, collecting payments, scheduling, rescheduling, coordination multiple appointments and canceling appointments.
- Collects co-payments at the time of service.
- Answers the telephone within 20 seconds (4 rings) and uses the appropriate greeting to include: the clinic/department, your name and an offer to assist.
